Dynamics 365 Business Central Training: Output Journal

The Output Journal in Dynamics 365 Business Central is a vital tool for documenting and managing production entries. Similar to the consumption journal, its purpose is to provide serial reporting of consumed setup, run time, and finished items. The output journal operates exclusively with the operations registered on the production order routing. Users can manually enter lines by specifying the production order number, and the item number and operations displayed in the drop-down will correspond to those registered on the production order. Additionally, the Explode Routing function can be used to retrieve all routings from the production order.

Whether you are new or seeking to enhance your skills, this Dynamics 365 Business Central training guide offers step-by-step instructions on how to post entries effectively, highlights best practices, and identifies common pitfalls to avoid.

Introduction to the Output Journal

The Output Journal in Dynamics 365 Business Central is used to record the output of production orders. It ensures that manufacturing entries are accurately documented, which is crucial for maintaining inventory levels, tracking production costs, and ensuring the accuracy of financial statements.

Step-by-Step Instructions on How to Post Entries

Step 1: Access the Output Journal

To access the Output Journal, navigate to the "Manufacturing" module in Dynamics 365 Business Central, then select "Output Journal" from the list of options. You can also use the global search functionality to search for "Output Journal". You will see a blank journal page ready for entry.

Step 2: Enter Production Order Details

In the output journal, you will need to enter the details of the production order, including:

  • Production Order Number: Enter the unique identifier for the production order.

  • Item Number: Enter the item number of the product being produced.

  • Quantity: Enter the quantity of the product that has been completed.

  • Output Quantity: The total quantity of the finished item sent on to the next operation. If the operation is the last operation, the item will be transferred to inventory and is therefore available for all other modules like inventory movement, sale, service orders, jobs, etc.

  • Scrap Quantity: Quantity of the finished items that were scrapped during the production. If the flushing method of the component is Forward or Manual, the production assumes that it was possible to produce the output quantity plus the scrap quantity with the components posted to the production order. If the flushing method is Backwards, the components will be calculated from the output quantity plus the scrap quantity.

  • Type: Defines which type of capacity is used. It can be either “Machine Center” or “Work Center”.

  • Run Time: The estimated operation time used for pre-calculation of the production. Run time can be part of the cost of the finished item if the Unit Cost Calculation on the capacity has been set to “Time”. If it has been set to “Units”, the run time will only be used for statistical purposes.

  • Capacity Unit of Measure: The unit of measures used for the setup time and run time.

  • Finished: An indication that the operation is finished. This will update the routing status on the routing of the production order, which again will update the task list. Other than that, it has no function.

Step 3: Review and Validate Entries

Before posting the entries, it is crucial to review and validate the information entered. Ensure that all details are accurate and complete. This step helps prevent errors that could affect inventory levels and financial records.

Step 4: Post the Entries

Once you have validated the entries, you can post them by selecting the "Post" button at the top of the journal page. Dynamics 365 Business Central will process the entries and update the relevant records.

Best Practices for Using the Output Journal

1. Consistent Data Entry

Ensure that data entry is consistent across all production orders. Use standardized codes and descriptions to maintain uniformity and avoid confusion.

2. Regularly Update Work Center Information

Keep your work center information up to date. This includes updating labor and machine rates to reflect current costs accurately.

3. Implement a Review Process

Establish a review process to verify entries before posting. This can be done by a supervisor or a designated team member to catch any errors or discrepancies.

Common Pitfalls to Avoid

1. Inaccurate Quantity Entries

Entering incorrect quantities can lead to significant discrepancies in inventory levels. Double-check the quantity of completed products before posting entries.

2. Missing Production Order Numbers

Ensure that every entry includes the correct production order number. Missing or incorrect numbers can cause tracking issues and affect production reporting.

3. Overlooking Work Center Details

Neglecting to update work center details can lead to inaccurate production costs. Regularly review and update work center information to reflect current operational costs.

4. Skipping the Review Process

Skipping the review process can result in errors being posted to the system. Always review entries for accuracy before posting to maintain the integrity of your records.

Conclusion

Using the Output Journal in Dynamics 365 Business Central efficiently requires attention to detail and adherence to best practices. By following the step-by-step instructions provided in this guide, new users can confidently post output entries while avoiding common pitfalls. Regularly reviewing and updating your processes will ensure accurate and reliable production records, contributing to the overall success of your manufacturing operations.

Remember, the key to mastering the Output Journal lies in consistent practice and continual learning. As you become more familiar with Dynamics 365 Business Central, you will find that managing output entries becomes second nature, allowing you to focus on optimizing your production processes and achieving your business goals.
