Entering a Purchase Credit Memo in Dynamics 365 Business Central 


Step 1: Navigate to Purchase Credit Memos 

To begin, open Dynamics 365 Business Central and use the search bar to find "Purchase Credit Memos". Select the appropriate option to navigate to the list of existing purchase credit memos. 


Step 2: Create a New Purchase Credit Memo 

Once you are on the Purchase Credit Memos page, click on "New" to create a new purchase credit memo. This will open a blank purchase credit memo form. 


Step 3: Fill in General Information 

In the General section of the purchase credit memo form, provide the following details: 

  • Vendor Name: Select the vendor from whom you are receiving the credit memo. 

  • Posting Date: Enter the date on which the credit memo is posted. 

  • Document Date: Enter the date on the vendor's credit memo. 

  • Document No.: Assign a unique document number to the credit memo. 

  • Vendor Cr. Memo No.: The credit memo number from the vendor.


Step 4: Fill in Line Information 

In the Lines section, you will detail the items or services being credited: 

  • Type: Choose whether the line pertains to an item, a G/L Account, or another type. 

  • No.: Select the item number or account number. 

  • Description: Provide a description of the item or service. 

  • Quantity: Enter the quantity being credited. 

  • Unit Price: Enter the price per unit. 

  • Line Amount: The system will calculate the line amount based on the quantity and unit price. 


Step 5: Review and Post the Credit Memo 

After you have filled in all the necessary information, review the purchase credit memo to ensure accuracy. Once confirmed, click on "Post" to finalize and post the purchase credit memo. This action will update the vendor's balance and reflect the credit in your financial records.

Entering a Purchase Credit Memo from a Journal 

Sometimes, you may need to enter a purchase credit memo directly from a journal. Here's how to accomplish this: 


Step 1: Navigate to Purchase Journals 

Use the search bar to find "Purchase Journals" in Dynamics 365 Business Central. Select the appropriate option to open the Purchase Journals page. 


Step 2: Create a New Journal Line 

On the Purchase Journals page, click "New" to create a new journal line. This will open a blank journal line form. 


Step 3: Fill in General Journal Line Information 

Provide the following details in the General Journal Line: 

  • Posting Date: Enter the date on which the journal entry is posted. 

  • Document Type: Select "Credit Memo."

  • Document No.: Assign a unique document number to the credit memo. 

  • Account Type: Select "Vendor." 

  • Account No.: Choose the vendor account. 

  • Bal. Account Type: Select "G/L Account."

  • Bal. Account No.: Choose the general ledger account.


Step 4: Fill in Credit Information 

In the same journal line, provide the details of the credit: 

  • Amount: Enter the credit amount as a negative value. 

  • Description: Provide a brief description of the reason for the credit. 


Step 5: Review and Post the Journal 

Review the journal line to ensure all information is correct. Once confirmed, click on "Post" to finalize and post the journal entry. This action will update the vendor's balance and reflect the credit in your financial records.
